Using AI Tools in Your Application: Guidance for Candidates

We recognise that artificial intelligence (AI) tools such as ChatGPT, Copilot Chat and Gemini can be helpful when preparing a job application. Used appropriately, these tools can support you in presenting your skills and experience clearly and confidently. However, there are boundaries around how AI should be used during the recruitment process, and we want to be transparent about what is and is not acceptable.

This guidance sets out how you may use AI tools when applying for roles at the Royal Household and where the use of these tools would be considered inappropriate or unfair.

If we believe AI has been used inappropriately, we reserve the right to remove your application from consideration. If you're unsure about whether something is acceptable, please ask by emailing [email protected] before submitting your application.

Acceptable use of AI

Idea generation
You could use AI to help you brainstorm initial ideas or suggest ways to structure your application based on your experience. For example, you might use it to help think through how you could present your experience in a way that best reflects the job description.

Grammar and spelling support
It is fine to use AI to check grammar, spelling, and clarity in your written responses, such as personal statements or supporting information sections.

Formatting 
AI can help improve the layout of your written work, making sure your application is well presented.

Interview preparation
You are welcome to use AI to practise interview questions or to explore common topics that might be covered, as long as the answers you give in the interview are genuinely your own.

Unacceptable Use of AI

There are limits to how AI should be used. Inappropriate or dishonest use of AI could lead to your application being removed from consideration. This includes:

Misrepresentation
Do not use AI to create content that presents qualifications, experience, or achievements that are not your own. Every part of your application must be based on your real-life experience and accurately reflect your skills.

Submitting AI-generated content without review
Applications that are clearly AI-generated and submitted with little or no personal input are not acceptable. Your application should reflect your voice and understanding, not generic or overly polished content produced entirely by an AI tool.

Using AI to answer questions in real time
It is not acceptable to use AI during any part of the live interview process, including typing answers into a chatbot during online assessments or interviews. Your responses must be your own, without outside help.

Automated or bulk applications
Do not use AI tools to apply to multiple roles at once with copied or non-specific content. Every application should be tailored to the role and reflect genuine interest.
